Complete Guide to Thermal Paper

Everything you need to know about thermal receipt paper โ€” types, sizes, coatings, durability, and how to choose the right paper for your POS system.

How Thermal Paper Works

Thermal paper has a special heat-sensitive coating. When the thermal print head in your POS printer applies heat, the coating turns black โ€” creating text, barcodes, and graphics. No ink, toner, or ribbons needed. This makes thermal printers faster, quieter, and cheaper to maintain than impact or inkjet printers.

Types of Thermal Paper

Standard Thermal Paper

The workhorse of the industry. Standard thermal paper uses a chemical coating that reacts to heat. It's affordable, reliable, and suitable for most applications. Standard thermal receipts typically last 3-5 years under normal conditions.

Best for: Restaurants, retail stores, bars, coffee shops โ€” any high-volume environment where receipts are short-lived.

Phenol-Free / BPA-Free Thermal Paper

Traditional thermal paper contains BPA (Bisphenol A) or BPS (Bisphenol S) in the coating. Phenol-free paper eliminates these chemicals entirely, using alternative developers that are safer for human contact. This is increasingly important as states regulate BPA in receipt paper.

Best for: Medical offices, pharmacies, grocery stores, and any business where staff handle receipts all day. Also recommended for businesses in states with BPA regulations.

Top-Coated Thermal Paper

A protective top coat adds resistance to water, oil, plasticizers, and UV light. Top-coated paper lasts significantly longer and resists fading. Premium option for applications requiring durability.

Best for: Shipping labels, warehouse tags, outdoor applications, and receipts that need to last.

Thermal Paper Sizes

3 1/8" x 230' (80mm x 70m)

The industry standard for full-size POS printers. Fits Epson TM-T88, Star TSP100, Clover Station, Toast printers, and most restaurant/retail POS systems. A case of 50 rolls typically lasts a busy restaurant 4-8 weeks.

2 1/4" x 74' (57mm x 22m)

The standard for credit card terminals and compact printers. Fits Verifone, Ingenico, Clover Mini, and Square Terminal. Smaller diameter means more frequent changes but fits in tight countertop spaces.

How to Choose the Right Thermal Paper

  1. Check your printer model โ€” Look on the bottom or back for the model number. Most thermal printers accept 3 1/8" rolls.
  2. Measure your current roll โ€” Width and diameter tell you what fits. A roll that's too wide won't fit in the printer.
  3. Consider your environment โ€” High-heat kitchens? Choose top-coated. Health-conscious? Go phenol-free. Standard retail? Regular thermal works great.
  4. Buy from a reliable supplier โ€” Cheap imported paper can jam printers, produce faint prints, or damage thermal print heads. We source from established manufacturers.

Thermal Paper Storage Tips

  • Store in a cool, dry place โ€” heat and humidity activate the coating prematurely
  • Keep away from direct sunlight
  • Don't store near solvents, cleaners, or plasticizers (they can react with the coating)
  • Use oldest stock first (FIFO inventory)
  • Shelf life: 3-5 years under proper storage conditions
